Encouraging your staff to use Video

So you’ve invested in videoconferencing, the kit has been installed, it all works perfectly and your room looks great. Now how do you get people using it…

Even the best, most expensive video conferencing system in the world can sit unused, gathering dust in the corner if it is not implemented effectively and promoted to your team.

The internal market is the most commonly forgotten. If you want staff to use your video conferencing system then they need to be told about it first. Market the benefits and reasons for video conferencing to your people. Tell everyone about it: include it in your staff newsletter, notify them by email and put up posters around the building. You could set targets for travel reduction; make your staff feel good about doing their bit for the environment when they use video conferencing instead of travelling to & from off-site meetings.

TrainingTraining
Training is critical to the ongoing success and return on investment of your video conferencing solution. If people are not comfortable with using the system and do not know how to make calls then they simply will not use it. Our training programmes allow users to become comfortable with the equipment and at ease holding video meetings. Training courses can be tailored to your needs as well as providing standard user and administrator courses.

HelpHelp at hand
Have help close at hand. Even after training, your people will inevitably require help as they start getting used to the system. We suggest making it easy for users to get help. You may have experienced technical staff who can be on hand to offer help. Quick reference help sheets can be left by your video conferencing unit.

Staff incentives
You could run an incentive programme to encourage your staff to use video conferencing. So instead of collecting AirMiles on their flights or points from the hotels they stay in, staff can earn points for meeting on video. Consideration should be given to how this can be tracked, measured & reported, the remuneration and also in the case of multiple participants, who should receive the incentive.

All of this may sound like common sense but you would be amazed at how often these simple actions are forgotten or left to the last minute and how much of a difference it makes to achieving maximum returns on your investment.
